EXHIBITOR TERMS AND CONDITIONS
These Exhibitor Terms and Conditions (“Rules”) govern Exhibitor’s participation at the Florida Chapter American College of Cardiology’s Flagship Annual Meeting entitled Where Science Meets Patient Care (“Event”), being held August 1-3, 2025 at Disney’s Yacht Club Resort (“Hotel”) in Lake Buena Vista, Florida managed by the Florida Chapter American College of Cardiology (“FCACC").
Exhibit Opportunities As an exhibitor at the Event, Exhibitor will receive the following:
Anticipated Exhibitor Hours
Exhibit Staffing All Exhibitor representatives are expected to contribute to the professional environment of the event and must conduct themselves in a professional manner and adhere to the meeting code of conduct as posted.
Safety Exhibitor materials must comply with all applicable fire laws, hotel safety rules and regulations. All packing containers, excelsior, and similar materials are to be removed from the exhibit space upon completion of set-up. Exhibits cannot block aisles or fire exits. Care of Building and Equipment Exhibitors and their representatives must not damage, injure, or deface the Hotel’s ceiling, walls, or floors with the exhibits’ displays or equipment. Any and all damages, losses, expenses, and/or costs resulting from failure to observe this requirement shall be the sole responsibility of Exhibitor. Exhibitors are responsible for disposing of their own exhibit booth materials, packing material waste, including empty boxes.
Services All electrical, telecommunications, and internet services must be provided exclusively by the Hotel or vendor designed by the FCACC Cancellation by Exhibitor Exhibitor must send written notice of cancellation to the Executive Director of the FCACC. The date on which the notice is received is the official cancellation date. Cancellations sent via email are accepted. If the cancellation is received thirty (30) or more days before the Event start date, fifty percent (50%) of the Exhibit Fee will be refunded. If the cancellation is received less than thirty (30) days before the Event start date, one hundred percent (100%) of the Exhibit Fee will be retained. Exhibitors who fail to show up at the Event will be considered a “no-show,” will be deemed to have cancelled the Contract, and will forfeit one hundred percent (100%) of the Exhibit Fee. The FCACC shall have the right to reassign such canceled space to another exhibiting company in its sole discretion without mitigation of any amounts forfeited by Exhibitor.
Cancellation by FLORIDA CHAPTER AMERICAN COLLEGE OF CARDIOLOGY FCACC reserves the right to refuse exhibit space or close an exhibit for any reason, including but not limited to failure by exhibiting company to make payments when due or to comply with the terms and conditions set forth herein.
